Event Rental Policies

Reservations & Payments

  •  Minimum Order: A $150 minimum applies to all rental contracts.   
  • 50% Reservation Retainer: A non-refundable 50% retainer is needed at booking to secure your date and inventory; no items are held without it.
  • Final Payment: The remaining balance is due 30 days before the pickup date.
  • Cancellation: 100% of the total rental fee is non-refundable if canceled within 30 days of the pickup date.

Usage Restrictions

  • Indoor Use Only: Staging, dance floors, pipe & drape systems, and wooden arches must be used indoors on flat surfaces.
  • Weather Clause: Rain, high humidity, or wind results in immediate forfeiture of the security deposit.
  • No Modifications: Staples, nails, pins, or permanent tape on wood or fabric surfaces are prohibited.

Security Deposits & Damages

  • Damage Waiver/Deposit: A $500 authorization hold is required for all orders to cover potential damages or cleaning fees, released within 7 days after return, pending inspection.
  • Item Care: Returns with permanent stains, tears, or deep scratches incur a replacement fee of 5 times the rental rate.
  • Cleaning: Dining items must be rinsed and free of food debris, and trash cans must be returned empty.

Pickup & Transport Requirements

  • All rental items are provided on a Self-Service/Pickup-Only basis. The client is responsible for the secure transport, loading, and unloading of all equipment to and from our showroom.
  •  Rentals are at 1215 E Walnut Street; customers handle loading and unloading.
  • Vehicle Requirements:
    • Chiavari Chairs: Must be stacked vertically; use a box truck or heavy-duty pickup with ratchet straps.
    • Dance Floor & Staging: Requires a long-bed pickup (8ft) or box truck with a ramp.
    • Arches & Tables: Need an open trailer, large van, or SUV with folding seats.
